Job description

Key Responsibilities:

  • Greet and Welcome Visitors: Provide a warm and friendly welcome to visitors, clients, and employees, ensuring a positive first impression.

  • Answer and Direct Phone Calls: Handle all incoming phone calls promptly and professionally, directing them to the appropriate person or department.

  • Maintain Front Desk and Lobby Area: Keep the reception area clean, organized, and well-maintained.

  • Manage Visitor Log: Monitor visitor access and maintain security by following office procedures, including managing visitor badges and sign-ins.

  • Assist with Administrative Tasks: Provide administrative support, such as scheduling meetings, managing calendars, and handling mail and deliveries.

  • Handle Inquiries: Respond to general questions and inquiries, providing accurate information or directing them to the right department.

  • Coordinate Office Supplies: Monitor office supplies and place orders when necessary.

  • Schedule Appointments: Assist with scheduling and coordinating appointments and meetings.

  • Support HR and Office Management: Assist with administrative tasks related to HR and office management as needed.

Qualifications:

  • Education: Associate's or Bachelor's degree

  • Experience: Proven experience as a receptionist, front office representative, or similar role.

  • Skills: Excellent communication and interpersonal skills.

  • Strong organizational and multitasking abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

  • Professional attitude and appearance.

  • Ability to manage time efficiently and work under minimal supervision.

  • Basic administrative skills, including filing, typing, and data entry.
